Information we collect
We collect the contact details you provide, information about your enquiry and coaching goals, appointment records, communications and any notes needed to deliver coaching. If you purchase services, we also keep relevant billing records. Our website and service providers may process technical data, such as your IP address, browser details and cookies, to operate and protect their services.
Please avoid putting medical histories or other unnecessary sensitive information in enquiry forms. Where sensitive information is needed, we will explain why and obtain consent where required by law.
How we use your information
We use your information to respond to enquiries, arrange and deliver coaching, manage bookings and payments, maintain records and meet legal obligations. You may make general enquiries anonymously where practical; accurate contact details are needed to arrange a session.
Emails and your choices
When you agree to receive information about your enquiry and related coaching services, we use your details for those purposes. This can include a welcome email, booking invitations and follow-ups if you have not completed a booking. Appointment confirmations and reminders are sent separately.
You can unsubscribe from marketing emails at any time using the unsubscribe option or by contacting us. We action marketing opt-outs within five working days, without charge. Necessary messages about a booking or service you requested may continue. We do not treat this consent as permission for unrelated marketing.
Confidentiality and younger clients
Coaching conversations are confidential, subject to your permission and lawful exceptions. We may disclose relevant information where required or permitted by law, including to address a serious risk of harm to you or another person, meet child protection obligations, or respond lawfully to suspected or disclosed criminal activity. Disclosure is limited to what is reasonably necessary; mentioning a past offence does not automatically mean we will report it.
For clients under 18, arrangements and the service agreement must be made with a parent or legal guardian. We explain confidentiality and any agreed parent involvement before coaching begins, taking the young person's capacity and legal rights into account. Parental payment does not by itself give unrestricted access to session content.
Service providers and overseas handling
We use service providers for website hosting, email, bookings, online meetings and business administration. They receive information needed for those functions and may process or store it outside Australia. We take reasonable steps required by applicable law to protect information in these arrangements. We do not sell personal information. We may also disclose information to professional advisers or authorities where lawfully necessary.
Security and retention
We take reasonable steps to safeguard information and restrict access. We keep records for service delivery, legal obligations and legitimate dispute handling, then delete or de-identify them when no longer needed and legally permitted. We may keep a minimal record to honour an unsubscribe request. No online service can guarantee complete security.
We will not record or enable automated transcription of a session without prior agreement. You can manage cookies through your browser, although restricting them may affect website or booking functions.
Access, correction and complaints
Email contact@conectatecoaching.com to request access or correction, ask about deletion, or raise a concern. We may verify your identity and will respond within applicable legal timeframes, aiming for 30 days. We will explain any lawful refusal.
If a concern remains unresolved, you may contact the Office of the Australian Information Commissioner or, for relevant Victorian health information matters, the Health Complaints Commissioner, where they have jurisdiction. These options do not limit other legal rights.
Changes
We may update this policy and will show the revised date here. A policy update does not itself provide consent for a new use of your information. You can request a copy by email.
